Adding a New Virtual Mailbox

To add a virtual mailbox, press the toolbar button. A New Virtual Mailbox wizard is displayed, showing the Details page.

Enter a descriptive name for the virtual mailbox and press Next to continue. The ISP Accounts page is displayed.

This page shows the list of ISPs that you have already defined. For each ISP, tick the corresponding tick box if this virtual mailbox receives mail from that ISP. If the virtual mailbox does not receive mail from a particular ISP then leave the corresponding tick box un-ticked. When you tick one of the tick boxes, a message box will be shown informing you that the virtual mailbox has not been assigned an appropriate mailbox with the ISP.

Press Yes to specify the mailbox.

Entering a mailbox name, effectively defines this virtual mailbox's e-mail address for the corresponding ISP.

If the virtual mailbox has an individual POP3 account with this ISP then select the POP3 Details tab and select the Mail for virtual mailbox is collected from the ISP… radio button and enter the appropriate user name and password required to access the POP3 account.

Press OK to save your changes and press Next on the ISP Accounts page to continue. The next page shown is the Auto-Responding page.

This page lets you specify whether or not the virtual mailbox will send an auto-response to anyone that sends an e-mail message to it. The response message may be either a plain text formatted message or an HTML formatted message. To specify an auto-response for the virtual mailbox, tick the Send an auto-response tick box and enter the name of the file containing the auto-response message into the filename field in the Body section. Select either the Text formatted or HTML formatted radio button as appropriate.

If the response is to contain a file attachment, then enter the appropriate filename into the File attachment field. Press Next to continue.

The next page shown is the Forwarding page.

This page lets you specify the user that will receive messages sent to this virtual mailbox. Select the appropriate user from the drop down list.

Pressing Finish will save the details that you entered for this virtual mailbox and will add the virtual mailbox to the list of virtual mailboxes in the WorkgroupMail Administrator.
